In LPG, every user has a unique Username and Password to log in. The system keeps track of everything a user does (like changes to Matters and Orders) and can show a history of those actions.
A role is effectively a job description. Each role has particular tasks that it can perform. A User may be assigned more than one role depending on the structure of the organisation and what workflows are required to satisfy the operational business rules. (See the tables at the end of this topic for a list of roles and the tasks they can perform.)
The privileges and roles assigned to the User determine which parts of LPG they can access.
Who can set up users and edit roles:
- The LPG Sys Admin or HR Admin roles can create/edit each user's account and profile.
How to Check Your Roles:
- In the LPG menu, go to Users > My Details.
- On the My Details screen, click “Roles and Workgroups”
- N1 Displays the roles you currently have assigned to your user.
- N2 Displays the Workgroup assigned to you within that role. To find more information on what a workgroup is, visit HERE.
- N4 Displays your Authority. You can action work up to the dollar value specified. Anything above that will require manager approval.
Note:
Each workgroup is assigned specific access levels. The following explains the different types of access indicated by the Member and Supervisor tick marks (N3):
Member Only:
-
A tick in the Member Only column means the user is a Member of the Workgroup (not a Supervisor). As a Member, the user can:
- View all work assigned to the workgroup.
- Only acquire unassigned work to become the owner.
- Take action on the work once they are the owner.
- "Release" work back to the group, allowing another member to acquire it.
Member and Supervisor:
-
A tick in the Member and Supervisor column means the user has Supervisor. By default, if the user is a Supervisor, they will also have Member access. As a Supervisor, the user can:
- View all work assigned to the Workgroup group.
- Acquire unassigned work to become the owner.
- Take over work that has already been assigned to another user.
- Assign or reassign work to any user within the Workgroup.
