| Who: | Provider Operations |
| Why: | The Provider has accepted an Engagement from the Client which includes a number of Deliverable orders (the status of the Engagement and the associated Deliverables is at Work in Progress) but the Provider doesn’t believe that sufficient time has been allowed for the completion of one of the Deliverable orders. They need to request an Extension of Time. |
Note:
- To submit a variation request, the Engagement Order status must be “Work in Progress”.
- If you request an extension beyond the Matter End Date, the Matter Manager will need to extend the Matter Period.
Steps to Request an Extension of Time:
- Locate the specific order for which you wish to request an extension of time. You can do this by using the Find Orders screen or directly through the Matter screen where the order exists.
- Click the Action/Acquire/Takeover button next to the order you wish to extend.
Scroll to the bottom of the Order and click Request Extension of Time
The Extension of Time Request window opens.
Enter the new Order end date (format dd/mm/yyyy) or use the calendar icon to select the date.
Note: The new end date cannot be later than the Matter’s end date. If you select a date beyond the Matter End Date, a warning will appear. You can choose to proceed, which will prompt the Matter Manager to extend the Matter Period.
Select the Reason from the drop-down list (N1) - The text of the selected reason is copied to the Reason for Request text box (N2).
You can optionally include additional information about the reason for the request.
Click Submit
NOTE: The request is sent to the Client for approval; the Order is not actionable until they respond.
Action the Client’s Response
Before taking further action on the Order, the Client's response to the Extension of Time request must be viewed and acknowledged:
- Go to Worklist > All
Under the Orders tab, click Customer Response to Extension of Time Request
Click Action/Acquire/Takeover next to the relevant order
- Review details in the Customer Response to Extension of Time Request screen
The revised Order End Date is shown in red
The Client’s decision and comments are displayed at the bottom of the page
Click Response Viewed
